Thank you for the opportunity to work with you in preparing your income tax returns. To ensure a clear and complete understanding of our professional relationship, please review the following information carefully.
Community Chest Tax Services will prepare your income tax returns based solely on the information you provide to us. Upon completion of your tax returns, we will return any original documents you supplied. From time to time, our office may retain scanned copies of your documents for recordkeeping purposes; however, you are responsible for retaining all original documents, canceled checks, and other data that form the basis of income, deductions, and other tax return forms, schedules, elections, and disclosures. Such documents include, but are not limited to, records supporting deductions for meals, entertainment, travel, business gifts, charitable contributions, and vehicle use (if applicable), as well as bank and credit card statements. These records are necessary to substantiate the accuracy and completeness of your returns should they be selected for examination by any taxing authority. We recommend that you retain all documentation and copies of your tax returns for a minimum of five (5) years after filing or after the due date, whichever is later.
Our work in connection with the preparation of your income tax returns cannot be relied upon to detect errors, irregularities, or illegal acts, including but not limited to fraud, that may exist in the information or documentation you provide. We will exercise professional judgment in resolving questions where tax law is unclear or where there may be differing interpretations between taxing authorities and other reasonable positions. Unless otherwise instructed by you, we will take a tax position favorable to you when it is reasonable to do so. However, we cannot guarantee that such positions will not be challenged or ensure the ultimate outcome of any challenge. Additionally, we are not responsible for issues arising from income, expenses, or other information not provided to us prior to the filing of your returns.
Please note that this engagement includes general and annual income tax preparation services only. Unless specifically requested by you and agreed upon in writing, Community Chest Tax Services does not provide services related to payroll tax, sales tax, excise tax, personal or real property tax, or other non-income tax matters. We also do not determine or report compliance with federal, state, or local business laws, health care or human resources regulations, retirement plan compliance, or business, property, or professional licensing or permitting requirements.
Fees for our services are based on a per-form structure, with consideration given to the time spent by our professional staff and costs incurred for supplies and related expenses, including copying, long-distance telephone charges, and computer processing fees. Payment for tax preparation services is due upon presentation of your completed tax returns. It is company policy not to release tax returns or any related schedules, reports, advice, or notes until payment is received in full. In the event that payment is not received and Community Chest Tax Services seeks legal assistance to collect outstanding fees, you may be responsible for reimbursing the firm for any associated legal costs. While we strive to provide a fee estimate in advance, circumstances may arise that increase or decrease the final cost. Should this occur after an estimate is provided, we will notify you accordingly.
Upon completion of your tax returns and receipt of payment, we will provide you with copies of your returns, e-file authorization forms, and any applicable payment vouchers. You are responsible for reviewing the completed returns carefully. If any changes are required, please notify us immediately so we may address or correct the issue without delay. If you approve the returns, please sign and date the e-file authorization forms and return them promptly. Taxing authorities prohibit electronic filing without signed authorization. If your returns cannot be e-filed, paper copies will be provided for your signature and mailing.
By signing this engagement letter, you agree to compensate Community Chest Tax Services for the services requested. If this engagement is terminated prior to completion, Community Chest Tax Services reserves the right to invoice you for any out-of-pocket expenses, professional time at our standard hourly rates, or other costs incurred during the engagement. This applies to in-person consultations, advisory services provided by phone or email, representation services, or any tax-related services rendered, even if the engagement is terminated before completion.
If you receive correspondence from any taxing authority regarding a tax return prepared by our firm, we will be happy to assist you. Included in your tax preparation fee is up to 120 minutes of correspondence-related services per tax year at no additional charge. Additional time beyond 120 minutes will be billed at a standard hourly rate of one hundred and fifty dollars ($150) per hour or portion thereof. When feasible, we will inform you if additional time is anticipated. Regardless, additional fees are payable upon completion of the work. You may request that we discontinue correspondence assistance at any time by submitting a written request with your signature. If the correspondence results from an error or omission by our firm, no charge will apply. Except in such cases, a flat handling fee of fifty dollars ($50) will be assessed for correspondence assistance and is not included in the annual tax preparation fee.
Audit or examination representation services are not included in the tax preparation fee and require a separate engagement and fee structure. If you wish to obtain audit representation, please inquire at any time. Audit representation is available through Audit Maintenance Protection for an additional fee of $49.99, which may be added to your tax preparation services.
Community Chest Tax Services takes the privacy and security of your personal information seriously. We take reasonable measures to safeguard your information and do not sell or disclose it outside the firm. However, limited internal use of your information may occur for non-tax-related purposes such as newsletters, holiday greetings, or courtesy communications. By signing this agreement, you consent to such limited internal use.
To help prevent identity theft and ensure accurate filing, Community Chest Tax Services may request documentation to verify your identity and that of any individuals listed on your tax returns. These documents may include, but are not limited to, government-issued photo identification, Social Security cards, birth certificates, or immigration-related documents. All such documentation will be safeguarded in accordance with our information security procedures.
If you agree to the terms of this engagement, please sign below. By signing and providing your tax information, you acknowledge and accept the terms outlined in this engagement letter.
